Agency Setup
Every permission in Drivetrain, and what it does
Drivetrain controls what someone can see and do with a list of individual permissions. You set them in two places: Manage Role Defaults, which changes them for everyone on an access role, and Manage permissions on one person, which overrides the role for just them. This is every permission an agency can set, in the order the chooser shows them, with what each one does and when you'd hand it out. Your logo, your line and your color are what an agent sees every time they sign in. Setting all three takes about five minutes. It all lives in Agency Settings, on the Branding tab. Suppose your team call link appears in eleven journey tasks and two emails. If the link changes, you'd have to go hunt down all those spots and update them. Not anymore! Variables mean you change it in one place and it gets updated across your agency communication. Your journey, emails and pages use fill-in-the-blank variables instead of static values. Set each variable once, and your text appears everywhere that variable is used. Faster setup. The journey arrives already written. YouFew readersHow to set up your team positions and skills
Assign users to Team Positions to decide whose contact card appears for each position. Drivetrain doesn't ask who your agency's casework contact is every time it needs one. You tell it once, by putting people on a position or giving them a skill, and everything that needs that answer reads it from there: contact pages, tasks, notifications. Do this early. Staff are the people who sign in to help you run the agency: an assistant who works the roster with you, a coordinator who keeps new agents moving, someone who only needs to read the numbers. They're not agents going through the journey, and they don't appear in agent counts. Adding one takes three screens and sends an invitation. The decision that matters is the access role, because it decides what the person can see and change. Before you start You need to be the agency owner. When one of your agents is ready to stop being only a producer and start building, you don't move them to a different kind of account. They stay an agent. You switch on a handful of permissions, and they can recruit and manage people underneath themselves. Everything you grant is automatically limited to their own downline.
