How to set up an Agency Contacts page

A contacts page answers the question every new agent asks in their first week: who do I actually go to for this? You build it once and it keeps itself current, because it points at roles rather than at names.

This walkthrough builds a page called "My Support Team". Use whatever name fits your agency.

Before you start

You need to be the agency owner. Managing pages is an owner permission by default. If you're an assistant or an analyst, you won't see the Edit Pages area.

Your team positions and skills need people on them already. A contact block doesn't name individuals. It names a position or a skill and shows whoever holds it, so if nobody is on the position you choose, the block renders empty. Set those up in People, under Positions & skills.

Create the page

From the sidebar, open Pages, then click New page at the top right.

Give it a name and click Create page. The name is set here, not later in the editor, so pick something your agents will recognize in the sidebar.

The page opens in the editor as a draft. Nobody else can see it yet.

Add your content blocks

Everything on the page is built from blocks. The row of icons at the top of the editor adds them: video, image, text, callout, file download, link, and contacts.

Add a text block and type a short line explaining who the page is for.

Give each group a heading

A contacts block has no heading of its own, so each section of your page is two blocks: a text block holding the heading, then a contacts block underneath it.

In the text block, open the style menu on the left of the formatting bar and choose Heading 2.

Choose who appears

Add a contacts block below the heading. It picks people three ways, and you can combine them:

  • Team positions, such as Agent Success Coordinator
  • Skills, such as Casework Help
  • Languages, such as Spanish

Click any of them to switch it on. The number beside each one tells you how many people are currently on it, so you can see whether a block will have anybody in it.

You can also add a named individual, under People. Use that sparingly: a position or a skill updates itself when the person changes, and naming someone directly gives that up.

Two things happen automatically. Somebody who matches more than one of your choices appears once, not twice. And a choice with nobody on it is skipped, while the rest of the block still renders.

Repeat the heading and contacts pair for each group you want on the page.

Save, then publish

Three controls sit at the top right. Save keeps your work. View shows the page as a reader sees it. Publish makes it visible to everyone in your agency.

Save before you publish. Publishing with unsaved changes publishes the page without them.

Once published, the Publish button becomes Unpublish, and the badge beside the page name changes from Draft to Published.

Here's the finished page.

Make it your support team page

One page in your agency can be marked as the support team page. Mark this one, and everything that links to "your support team page" comes here, including task content and emails written before your agency existed.

On Pages, open the ... menu on your page and choose Use as support team page. A Support team page badge appears beside the name.

  • Only one page holds it at a time. Marking a second page moves the mark off the first, so there's nothing to undo beforehand.
  • Publish the page. Links to an unmarked or unpublished page show up as plain text, so an agent sees words where the link should be.
  • It fills the Support team page variable too, so you can point a task or an email at it without pasting a URL, and it stays right if you ever swap which page holds the mark.

Watch it keep itself current

Say your casework section points at the Casework Help skill, and only one person has it today. Someone else takes on casework. You don't touch the page at all. Put them on the skill, and the page picks them up.

In People, open Positions & skills, then Skills, and choose the skill. Click Put someone on this.

Search for the person and select them.

They're now on the skill, alongside anyone already there.

Go back to your contacts page and the new people are on it.
