# How to set up your team positions and skills

Assign users to Team Positions to decide whose contact card appears for each position.

Drivetrain doesn't ask who your agency's casework contact is every time it needs one. You tell it once, by putting people on a position or giving them a skill, and everything that needs that answer reads it from there: contact pages, tasks, notifications.

Do this early. It's also what the [Agency Contacts page](https://help.lineagecrm.com/en/article/how-to-set-up-an-agency-contacts-page-1h2g5as/) depends on, because a contact block names a position rather than a person.

## Where the lists live

Open **People** in the sidebar, then the **Positions & skills** tab. The three lists run down the left.

- **Team positions** are jobs inside the agency: Agency Owner, Hiring Manager, Baseshop Mentor. A person normally holds one or two.
- **Skills** are things a person can help with: Casework Help, Licensing Help, Sales Coaching. A person can have as many as apply.
- **Languages** are what a person speaks, so an agent can find someone who shares a language with a client.

All three work the same way, and each one shows how many entries it holds: the standard ones, and your agency's own.

## Standard entries, and your own

Every list arrives with standard entries shared by every agency. Below them, under **Yours**, are the ones your agency has added.

Each name carries its state underneath: **Standard** and how many people are on it, or **Nobody yet**.

> **Watch for "Nobody yet."** A page or a task pointing at an empty position has nothing to show, so it renders blank for your agents.

You don't have to use the standard entries:

- **Hide from your lists** takes one out of circulation without deleting it for anyone else. **Show on your lists** brings it back.
- **Add a team position** creates one under whatever name your agency uses.

Click one of your own entries by name to rename it, or delete it from the **...** menu. Standard entries keep the names every agency sees.

## Putting people on a position

Click a position to open it. The panel on the right holds everything about it.

Click **Put someone on this** and search by name, email or phone.

- **It searches everyone the agency knows**, not just staff. Agents, staff and contacts are all eligible, which is the point: the agency's casework contact could be someone who doesn't sign in.
- **Anyone already on the position is marked "Already in this position"**, so you won't add a duplicate. On a skill it reads "Already has it".
- **Add a contact** at the top creates a new person without leaving the screen. Use it when the person isn't in Drivetrain yet, like a carrier rep or a mentor outside the agency.

Everyone you add shows under **People on it**. To take someone off, use the **x** at the end of their row. That removes them from this position and nothing else. Their account, their journey and their other positions are untouched.

## The positions that fill themselves

Three standard positions carry a padlock and the word **Automatic**. You can't put anyone on them by hand.

**Agency Owner** is filled from whoever owns the agency, so it's always right without anyone maintaining it. To change who holds it, change that person's access role in People.

**Upline** and **Upline's upline** are answered per agent instead, from the Upline field on each agent's profile. A card pointing at Upline shows every agent the person they're direct to, so one card covers your whole agency and nobody has to keep it current.

## Skills, and how they attach to positions

The Skills list works the same way, with one addition.

Under **Comes with these positions**, switch on a position and everyone on it has that skill too, without being added one at a time. If your Agent Success Coordinators all handle casework, switch Casework Help on for that position once and it stays true as people come and go.

The pairing is edited from the skill's side. Open a position and you'll see the skills and languages it carries listed read-only, with a **Change on Skills** link that takes you to the place to edit it.

**People who have it** lists everyone with the skill, whether they got it from a position or individually.

## A sensible order to do this in

1. **Hide** the standard positions your agency doesn't use, so the list stays short.
2. **Put people on each position.** Anything still reading **Nobody yet** is unfinished.
3. **Attach skills** to the positions that always carry them, then add the one-off skills person by person.
4. **Fill in languages** for anyone who speaks more than English.

Then build your contacts page, which will find everyone by itself.
