# Every permission in Drivetrain, and what it does

Drivetrain controls what someone can see and do with a list of individual permissions. You set them in two places: **Manage Role Defaults**, which changes them for everyone on an access role, and **Manage permissions** on one person, which overrides the role for just them.

This is every permission an agency can set, in the order the chooser shows them, with what each one does and when you'd hand it out.

## Two things to know before you grant anything

**An agent's permissions only reach their own downline.** Granting View Agents to a staff member shows them the whole agency roster. Granting it to an agent shows them the people under them, at any depth, and nobody else. The platform enforces that itself, so it isn't something an agent can work around.

**Right now seven permissions stay with the Owner:** Edit Journeys, Publish Journeys, Reset Journey, Manage Team, Manage Role Defaults, Manage Pages and Manage Media are locked to the agency owner in the database.

## Agency

**View Settings.** Opens Agency Settings and shows your agency's profile and branding without allowing any change. Give it to someone who needs to check what's configured, like a coordinator confirming which sending address your invitations go out from before they chase a missing one.

**Edit Settings.** Lets them change the agency profile and branding: name, mailing address, logo, slogan, color theme. Hand it to whoever actually maintains your branding, so they can swap a logo without going through you.

**Manage Pages.** Create, edit and publish agency pages, like your contacts page. Reading a page never needs a permission, so this is only about who can change them. **Owner only.**

**Manage Media.** Upload, replace and delete items in the agency media library. Referencing an image or video on a page needs nothing, so again this is only about who can change the library. Worth remembering that a delete here affects every page already using that file. **Owner only.**

## Agents

**View Agents.** Turns on the agent roster and the My Agents page. This is the floor for everything else in this group: without it, the other agent permissions have nothing to act on. Give it to any staff member who works with agents, and to an agent you're turning into a builder.

**Manage Agents.** Add and edit agents, and delete agent notes. Useful for a coordinator who fixes a misspelled name or corrects an upline without needing you.

**Ghost Agent Session.** Browse and act on an agent's journey on their behalf, seeing exactly what they see. The fastest way to answer "it won't let me complete this task", because you can look at their screen rather than ask them to describe it. It's also the most powerful permission in this group, so most agencies leave it with the owner.

**Recruit Agents.** Add new agents, placed under the person as upline automatically. This is the one that turns an agent into a builder and puts them on your Builders tab. Grant it when a producer is ready to start recruiting their own team.

**Delete Agents.** Remove an agent from the agency. Deletions are restorable by the platform team, so it isn't permanent, but it's still disruptive. Most agencies keep this with the owner and handle the occasional duplicate record themselves.

**Agent Detail.** Open an individual agent's detail page, with their profile, progress and timeline in one place. Give it to anyone who prepares for one-on-ones or needs to see where a specific person is stuck.

**Agent Task Tracking.** View and manage task completions on an agent's journey, including marking something complete. Useful when an agent finishes a step offline, like a carrier contract that got signed on paper, and someone needs to reflect that in the journey.

**Advance Agent Stage.** Move an agent to the next stage of their journey. The common use is an agent who's just got licensed and should move out of the pre-licensing stage without waiting for every task to tick.

## Activity

**View Activity.** Read the audit log and the login history. Two everyday uses: finding out who changed a setting, and checking whether a new agent has ever actually signed in before you chase them about their journey.

## Journey

**View My Journey.** Access their own My Journey page. Everyone going through the journey needs it, and so does any staff member who's also an agent.

**Complete Own Tasks.** Tick off their own journey tasks. It pairs with View My Journey and there's rarely a reason to separate them.

**View Journeys.** Open the journey builder read-only. Give it to someone who needs to understand how the journey is built, like a coordinator answering questions about what comes next, without being able to change it.

**Edit Journeys.** Build and edit journeys. Changes here reach every agent on that journey, which is why it's held tightly. **Owner only.**

**Publish Journeys.** Push a journey version live. It's deliberately separate from editing, so drafting and releasing can be different decisions. **Owner only.**

**Reset Journey.** Return your agency journey to the master template, discarding your customizations. Rarely used, and almost always a decision you want to make yourself. **Owner only.**

## People

**View people.** See the agency's users and team on the People page. Most staff need it; it's the read-only floor for the rest of this group.

**Manage Team.** Add and remove staff, and change staff roles. This is how someone else could add or remove people from your agency, which is why it's locked down. **Owner only.**

**Manage Role Defaults.** Edit what each access role grants by default. A change here applies to everyone on that role at once, so it's the highest-leverage permission in the whole list. **Owner only.**

**Assign access roles.** Change another person's access role. Owner stays owner-only, and an agent can never assign roles no matter what you grant. Give it to a trusted assistant who onboards staff for you.

**Manage User Overrides.** Edit one person's individual permissions, on top of their role. You don't need this to adjust your own downline, because being someone's upline is already enough. Grant it when a staff member needs to adjust people outside their own downline.

**Manage contacts.** Add and edit people the agency knows, whether or not they sign in. The common case is keeping a carrier rep or an outside mentor on your contacts page, so give it to whoever maintains that page.

## Recruiting

**View Recruits.** \[Coming Soon!] Controls access to the Recruiting page.

**Work recruits.** \[Coming Soon!] Controls who can move, close and reopen recruits.

## What isn't here

Ten more permissions exist for the Silverbow platform team: things like managing every agency, master journey templates, billing and system email. They never appear in your chooser and no agency can grant them.
